HEDA: Add or Update Addresses

Overview

HEDA lets you track multiple addresses for Contacts and Accounts you create. This is useful if Contacts or Accounts have seasonal addresses, work addresses, home address, or other addresses you'd like to keep track of for mailings.

NOTE: Multiple addresses is disabled by default for all Account record types, except Household Accounts. You can enable multiple addresses in HEDA Settings. See Enable Multiple Addresses for Accounts.
 

Setup—Before You Begin

You can optionally enable multiple addresses for all Account record types. There is also some setup required if you installed HEDA prior to version 1.14, or started a HEDA trial before November 16, 2016.

Enable Multiple Addresses for Accounts

  1. Click HEDA Settings in the navigation bar.
  2. Click Accounts and Contacts.
  3. Click Edit in the upper right corner.
  4. Next to Account Types with Multi-Addresses Enabled, select the checkbox for each record type that you want to allow to have multiple addresses.

    NOTE: Multiple addresses are enabled for Household Accounts by default. The checkbox for Household Accounts seen here doesn't control the availability of multiple addresses. If you want to change the record type used for Household Addresses, use the Account record type that Supports Household Addresses drop-down in HEDA Settings.

  5. Click Save.
 

Enable Multiple Addresses for Contacts

This section is only required if you installed HEDA prior to version 1.14, or started a HEDA trial before November 16, 2016.
 
  1. Click HEDA Settings in the navigation bar.
  2. Click Accounts and Contacts.
  3. Click Edit in the upper right corner.
  4. Select the checkbox next to Contact Multi-Addresses Enabled.

  5. Click Save.
You can also disable multiple addresses for Contacts by deselecting the Contact Multi-Addresses Enabled checkbox.

Add the Addresses Related List to Contacts

This section is only required if you installed HEDA prior to version 1.14, or started a HEDA trial before November 16, 2016.

After you enable multiple addresses for Contacts, add the Addresses related list to the Contacts page layout.
 
  1. Click User-added image, then click Setup.
  2. In Setup, enter Object in the Quick Find box, then click Object Manager under the Objects and Fields menu.
  3. In the list of objects, click Contact.
  4. Click Page Layouts at the top of the page.
  5. Click HEDA Contact Layout.
  6. In the left panel at the top of the page, click Related Lists.
  7. Drag the Addresses related list from the top right panel down to the Related List area of the page layout.
  8. Click Save.

Add an Address

The first address you enter on a Contact or Account record (in the Mailing Address or Billing Address fields) becomes the default address for the Contact or Account. But, Contacts and Accounts may have multiple addresses that you need to track. For example, a professor at a university may have a home address, university office address, and seasonal summer address. You can add them all in HEDA.

Here we're providing instructions for adding Addresses for your Contacts or Accounts, without overwriting the Mailing Address or Billing Address fields on the Contact or Account detail.

To add a new address for a Contact or Account:
 
  1. In HEDA, navigate to the Contact or Account you want to add an address for.
  2. Click the Related tab.
  3. In the Addresses related list, click New.
  4. Fill in whatever Address details will be useful to your organization, such as Mailing Address, City, State, and Zip Code.

    If you're creating the Address from an Account record, the Parent Account field is automatically populated with the Account name. Likewise, if you're creating the Address from a Contact, the Parent Contact field is automatically populated with the Contact name.

    IMPORTANT: If you check the Default Address box, this address becomes the default and is copied to the Address fields on the Contact or Account record details. If the Contact is part of a Household, the default address also gets copied to the Household Account Mailing Address fields.
     
  5. Click Save when you're done. Or click Save & New to create another address.

Update an Address

If you're using multiple addresses in your org, and you need to update an address, you should edit the Address record instead of the Billing Address fields on an Account or the Mailing Address fields on a Contact. If you edit the address fields on the Account or Contact, this may result in an additional Address record being created to reflect the updated data.

NOTE: If you want to be able to make small address changes to the Address fields on the Contact or Account, such as fixing a typo or updating a single address field, you can set the Simple Address Change Treated as Update setting. For more info, see A note about the Simple Address Change Treated as Update setting . . .
 
  1. Navigate to the Account or Contact that has the address you want to update.
  2. Scroll down to the Addresses related list. If you do not see the Addresses related list, you may need to add it to your page layout.
  3. In the row for the Address you want to update, click User-added image, then click Edit.

  4. Make any necessary changes to the address and click Save.
If the Address you edited was marked as the Default Address for the Account or Contact, you will see your changes reflected in the Billing or Mailing Address fields as well.
 

A note about the Simple Address Change Treated as Update setting . . .

HEDA includes a Simple Address Change Treated as Update setting which tells Salesforce not to create new Address records for very simple updates. Specifically, when this setting is enabled, if you update capitalization, add or remove white spaces, or make a change to a single Address field, the Address record is updated. If you change two or more address fields, Salesforce creates a new Address record for the Address. For example, an Account's address is 123 A Street, San Francisco, California 94105. If you edit only the Street field to make it 123 A St., the existing Address record is simply updated. But, if you edit the Street field AND the State field to make it 123 A St., San Francisco, CA 94105, a new Address record is created.

Even if you have this setting enabled, it's always best practice to make edits to Addresses from the Address records themselves.

To enable the setting:
 
  1. Click the HEDA Settings tab.
  2. Click Accounts and Contacts.
  3. Click Edit.
  4. Select the Simple Address Change Treated as Update checkbox.
  5. Click Save.

How do Address Updates Work?


How Address updates affect your Accounts and Contacts depends on many factors. We know that Addresses in HEDA can be a bit of a mystery, so we compiled the effects of Address changes in one table. 

NOTE: This tables outlines the default Address behavior in HEDA, with multiple addresses enabled for all Account record types.
